Expense categories work best when they help you make decisions. Fixed and variable describe predictability, not importance.
Separate predictability from necessity
Rent may be fixed and essential. Groceries vary and are still essential. A streaming subscription may be fixed but optional. Mark each expense by both how much it changes and how important it is.

Use recent records
Use the actual charge for predictable bills. For food, utilities, and fuel, examine several months and account for seasonal changes. Do not use one unusually cheap month if it leaves the plan unrealistic.
Allow for irregular bills
An annual renewal is predictable even though it is not monthly. Divide its expected amount by the months remaining. Saving $50 monthly for six months creates $300 for a known bill.
Choose useful detail
If miscellaneous spending hides recurring costs, split it into a few useful groups. If dozens of categories go unchecked, combine them. Review the largest differences first and make one practical adjustment for next month.
